The Jesuit Refugee Service (JRS) is ministry of the Society of Jesus, incorporated as an international non-governmental organisation with a mission to accompany, serve, and advocate for the rights of refugees and forcibly displaced people. The organisation was founded in November 1980 and now has a presence in over 56 countries.
Responsibilities of the position
- Performing administrative and clerical duties, including, but not limited to, mailing, and filing correspondence, placing orders etc.
- Managing communication including emails and phone calls.
- Scheduling meetings and appointments.
- Maintains files of all JRS minutes of meetings.
- Act as a Front Desk officer thereby welcoming visitors in a professional manner.
- Handling concerns, questions and queries from suppliers and visitors.
- Arranging meetings by reserving office space and managing refreshments.
- Maintain and order office supplies.
- Making of photocopies, scanning, and filing appropriate documents.
- Maintaining accurate records and entering information into databases.
- Assisting also with organising events as and when necessary.
- Coordinate staff travel including transport and accommodation.
- Provide logistical support for training, seminars etc.
- Signing for delivered packages and distributing them to the appropriate recipient.
- Monitoring and managing inventory of office supplies; ordering and distributing office supplies as necessary.
- Performing other administrative support tasks, including updating and sorting files, drafting, and proofreading correspondence, and conducting research.
- Supporting other staff with organizational tasks.
Job Summary
The Administrative Assistant is required to actively perform administrative and clerical duties with the aim to achieve the goals of the organization.
Qualifications and Experience
- Bachelor’s Degree, HND
- Proven experience as an office administrator, office assistant or relevant roles.
- Excellent organizational skills, ability to prioritize, and comfortable working independently.
- Exceptional oral and written communication skills.
- Committed to providing outstanding customer service and demonstrate strong interpersonal skills.
- Strong attention to detail.
- Should be conversant with Microsoft Office.
Qualities
- Adhere to JRS values and abide by the code of conduct and other policies.
- Proficient command of the English language (written and oral).
- Must be a resident or Indigene of Zamfara State
- Good knowledge of the local Nigerian Language
- Proven work experience in multicultural and stressful environments.
- Ability to adapt to working conditions and tasks that may change with the reality of the field.
